AUTOMATION

To simplify and standardise your order management, RideInbox examines each external order and imports the booking details that it was able to interpret. In fact, you'll teach it to recognise more and more booking information, so that in future it will process similar data automatically. Everything is done transparently. Information that couldn't be imported is flagged and available via a split screen to copy across as required.

Using RideInbox with RideRates

Businesses using our RideRates application to manage prices also benefit from the deep integration with RideInbox. If an order is received without a price, RideInbox will look up the applicable rate for the selected vehicle type and chosen route. Where a price has been provided, RideInbox compares the offered rate with the rate on file and alerts the user if there is a discrepancy. This advanced booking analysis is just one of the ways RideInbox helps administrative staff spot and resolve discrepancies when an order is first received.

Step 1: Extract raw data

RideInbox extracts booking data from e-commerce sales, booking emails, spreadsheets, APIs and more. The application deals with incomplete addresses, foreign language files, different currencies, accents and more.

Step 2: Pre-processing

All extracted orders are passed through pre-processing checks to standardise dates, times, place names, addresses and booking meta data. Processed bookings are as ready as they could ever be for automatic importation.

Step 3: Importation

Bookings can be imported automatically using our powerful Booking API. But we know many of your partners just aren’t in a position to make that investment in software.

Nevermind, RideSuite learns to interpret regular booking data received via emails and spreadsheets. With RideInbox, 80% of the effort is eliminated without any custom software development. This means many common mistakes are all but eliminated. Any data that can’t be imported are presented beside the booking record, ready to copy and paste in just a few clicks.

How can we help?

Although you can send and receive emails, RideInbox exists to help you collate bookings into one manageable order stream by parsing emails, reading XML file attachments, processing csv/xls file uploads and by providing a robust API.

Once you have a RideSuite account, you’ll be able to forward email from your regular email account to RideInbox. We recommend setting an email forwarding rule in your current business email account. The RideInbox email importer recognises popular booking formats and prepares them for order processing. Our technical team regularly adds new import templates, further extending the range of booking emails that are processed and imported automatically.

Once a booking has been imported, the details are validated and the Accept or Reject response is sent by email or via the API. Unresolved orders are managed within RideInbox, whilst validated orders are passed to other RideSuite applications, ready for assignment to a driver or allocation to a partner service provider.

Absolutely! You can manually add new bookings from anywhere in RideSuite by clicking the ‘Add order’ button in the top menu bar. Once created, these new bookings can be found in RideHQ together with bookings received and processed in RideInbox.
